The Stakes

The room a piping brand needed to be seen in

IFAT Saudi Arabia was no ordinary show to open at. The inaugural Kingdom edition of the world’s leading environmental-technology trade fair brought hundreds of exhibitors and tens of thousands of trade visitors to the Riyadh Front Exhibition & Conference Center, riding the momentum of Vision 2030 investment in water, waste, and circular-economy infrastructure.

For a water-and-piping name like Astral, that audience of regulators, utilities, and project owners was the room to be seen in. Being there with a stand that looked anything less than deliberate was not an option.

The Plan

Every open question on the table before production committed

Confirmed on 6 January, the project moved straight into planning. The pre-event meeting locked the decisions production couldn’t start without.

  • Graphics pending approval Artwork wasn’t signed off yet — the first domino the whole print schedule depended on.
  • Finish: grey vs white A call between a 10% grey and a clean white on specific elements, settled before paint.
  • Suspended blue fabric feature A striking design moment — pressed to hang perfectly, with an acrylic swap held in reserve.
  • Acrylic display box A CAD drawing needed immediately so the product display could be fabricated in time.
  • Factory die-cut, partner install Delicate elements die-cut in the controlled factory; final product install handed to the local partner on the floor.
  • Photograph everything first Each component shot and reviewed against the approved design before it was crated for the journey south.

The Squeeze

Logistics was the heartbeat of this project

Shipping a completed structure from Dubai into Saudi Arabia meant any slip in dispatch or customs clearance would flow straight into installation, with no buffer to absorb it. Then the timeline tightened from the other end: graphics due on the 10th didn’t arrive until the 16th, with print-ready files following only on the 20th.

The team absorbed the pressure without dropping quality — components fabricated, walls pre-painted to spec, and every piece photographed and reviewed before it was crated for the journey south.

A five-star result delivered under this much pressure is the best argument for getting the fundamentals right before the next border crossing.

Check the floor plan first

Cross-check the booth floor plan against the organiser-approved layout before production begins — a discrepancy on paper costs minutes; onsite it costs money and nerves.

Close the docket on time

Every design revision, graphic position, and approved change documented before dispatch, so the onsite team executes a clear record instead of reconstructing decisions.

Over-communicate

Several updates didn’t reach every stakeholder. Stronger information-sharing is the single upstream fix that makes the bolts, the fabric, and the timeline far easier to manage.
