One and a half days. That was the entire window to build a fully illuminated, premium stand at the largest food-and-beverage exhibition on the planet. The Vidya Herbs project is a case study in what disciplined planning can pull off when the clock — not the design — is the real opponent.

The Brief

Premium at the largest F&B show on the planet

Gulfood is where the world’s food-and-beverage trade gathers to source, sample, and strike deals — and a stand at this scale has to earn its place against thousands of competitors fighting for the same glance. This was the show’s landmark thirtieth edition.

The charge was to deliver a booth that represented Vidya Herbs at a premium level while meeting every functional and operational requirement — inside a build-up window most teams would consider barely viable.

The clock, not the design, was the real opponent.

The Plan

A statement piece, and the discipline to deliver it

The design crystallised around a single illuminated centrepiece — and an operational plan built to survive a compressed timeline.

  • The cup beacon A cup-shaped branding element built as a fully illuminated 3D structure, designed to glow across the hall.
  • Premium illumination Push-through acrylic backlit signage combined with flex material, with acrylic logos and text to keep every surface crisp.
  • The pantry, to spec Executed exactly as the approved order set out — complete with a mini refrigerator and a dedicated table for everyday usability.
  • Long-arm lights Focused illumination thrown onto branding and display elements while keeping the overall look clean and elegant.
  • Staffing built in A minimum of two staff on the booth at all times to keep it managed throughout the show.
  • The critical risk named With only 1.5 days to install, confirmation of booth possession from the pavilion contractor was singled out as the factor that could make or break the schedule.

Showtime

A sliver of a window, executed

Production photographs were approved on 6 February, giving the team confidence that every structural, graphic, and branding component met specification before dispatch. Installation then went in on 15 February — a sliver of a window ahead of the 17 February opening — with tight coordination between the onsite crew and the local partner the only thing standing between the plan and a missed deadline.

They executed, and the stand was completed and ready for handover before the event commenced.

It wasn’t flawless under that pressure — but every snag sharpened a lesson.

A display unit’s specified front glass panel had been replaced with acrylic that carried visible scratches.
